It’s two weeks before your big day! Whether it’s your wedding, or your child’s bar/bat mitzvah or sweet 16, there are some commonalities on the check list that should be completed. This blog should help point you in the right direction ensuring you are prepared for a smooth sailing celebration.
1. Confirmations/Coordination. If you are not working with an event planner, all this will fall on your plate. Ensure that all vendors involved have confirmed receipt of everything they need. This includes music lists, guest counts, meal orders, décor delivery, transportation, etc. Ensure that everyone has the proper times. It happens all to often that times change for a scheduled event. Meaning two years out when you reserved the venue, you may have booked a 6pm start. But later in the process you realized 7pm was better. Have you confirmed that all vendors know the revised times? Better safe than sorry. Double check it!
2. Payments. Most of your vendors will require advance payment. Be sure to have this taken care of early so you are not running around last minute trying to satisfy unique payment terms (like bank checks or money wires if needed).
3. Seating and Place Cards. It’s inevitable that you will have some last-minute guest changes. Do your best to get seating charts and place cards prepared early, but realize you may be doing some last-minute changes.
4. Print/Video Completion. If your event requires any print or video be sure to have these items completed a few weeks prior to the event date. These items include photo montages, printed banners, table arrangement displays, ceremony programs, etc. While it seems obvious to be as prepared as possible, it seems more often than not we hear stories of clients working late night to finish these tasks. Rather than rushing to complete these items, plan ahead. Give yourself ample time. Also keep in mind, that your rush only causes more rush for others involved. (DJ’s have to test montages. Print shops have to print final art, etc.). Your rush may make it impossible to trouble shoot any unforeseen issues.
5. Appointments. Hair, make-up, etc. Ensure you are set with your appointments as needed.
6. Clear your work schedule. Try not to overwhelm yourself with too many other obligations leading up to your celebration. If you have any work or school projects coming up, get them done early. You don’t need the added stress on your calendar.
7. Drop offs. If you have items that need to be delivered to your venue, church/temple, or hotels for guests like hospitality baskets as an example, be sure to coordinate a convenient drop-off time.
8. Gratuity. If you are planning on bringing gratuities for anyone involved don’t forget to go to the bank and make up your envelopes in advance.
9. Relax: The most important item on this list is to relax. If you trust your vendors they will ensure your day flows as it should. Get some rest! When the big day comes, you are going to be pulled in a million different directions!
